Job Title: Sales & Administration Coordinator

We are looking for a highly organised, proactive Sales & Administration Coordinator to support our sales team and keep our internal operations running smoothly. This role sits at the centre of customer communication, sales follow-ups, admin, and CRM management. You will not be micromanaged. You will be expected to manage your own workload, prioritise tasks, and ensure nothing slips through the cracks.


You will work daily in Bitrix24 and receive full training. 

This is a hybrid position, requiring a minimum of 2 days per week in our Randburg (Linden) office.


Responsibilities:

  • Follow up on new customer enquiries via email, WhatsApp, and phone
  • Scheduling, follow-ups, and CRM updates
  • Monitor customer software renewals and proactively follow up before expiry
  • Maintain accurate and up-to-date records in the CRM
  • Communicate confidently with customers, including managing difficult conversations
  • Provide structured weekly reports on sales activity, follow-ups, and risks
  • Assist with PA-type support such as booking meetings and managing reminders for management
  • Track and maintain customer training records
  • Compile various reports for management
  • Compile and send quotes, proposals and invoices
  • First line contact for phone calls
  • Occasional filing of expense receipts. 

Skills, and Experience:

  • Proficient in English.
  • Relevant experience in sales support, administration, or office coordination
  • Practical experience using Excel for tracking, grouping data, and reporting
  • Fluent written and spoken English

Soft Skills:

  • Previous exposure to working with a CRM system (any platform)
  • Highly organised and detail-oriented
  • Proactive and able to think ahead rather than react
  • Self-managed and disciplined
  • Calm, professional, and solution-focused under pressure
  • Reliable and consistent in follow-through

Bonus Skills:

  • Experience with Bitrix24 or similar CRM platforms
  • Basic experience posting or editing content for YouTube or social media

Bitrix24 Workflow & Automation Specialist

If you’re a CRM consultant, customer success manager, or someone who’s used a CRM but never set one up yourself — this role isn’t for you.

We’re looking for someone who builds the solution. Someone who can interpret business requirements, configure Bitrix24 modules, set up automation, and test the solution from start to finish.

This is a hands-on technical role for someone with a solid understanding of systems and workflows — not just data entry or account management. Experience in setup is not negotiable. 

What You’ll Do:
✅ Join client discovery sessions and help translate business processes into workable Bitrix24 configurations
✅ Configure modules, workflows, and settings (not just capture data)
✅ Be the main contact for clients during implementation—run regular updates, clarify requirements, and provide guidance
✅ Test everything you build thoroughly before client handover
✅ Handle project tasks, timelines, and documentation
✅ Use Excel for data extraction, cleanup, filtering, and import/export tasks
✅ Respond to tickets, help clients post-setup, and escalate as needed


Who We’re Looking For:
🔹 Experience with Bitrix24 implementations and workflow automation is highly preferred
🔹 If you’ve worked on other CRM/workflow systems, you’ll need to:
  • Show us past implementations (non-sensitive info)
  • Complete a hands-on assessment (we don’t go on CVs alone — we want to see how you think and configure)
🔹 Able to think analytically—you won’t get a full checklist, you need to interpret and figure things out
🔹 Comfortable leading client discussions and being their go-to person
🔹 Solid Excel skills—data prep is part of every implementation
🔹 Bonus: Basic HTML formatting skills


Location Requirement:
📍 You must be based close to Linden, Johannesburg.
🕐 For the first month, you’ll work from the office full time for training and onboarding.
🏡 If you're able to manage your work independently, you can be considered for a hybrid office/home setup.


Education:
Minimum Matric is required.
A tertiary qualification is preferred, as it often supports structured and analytical thinking.
However, we recognise that real ability to apply your mind can come from experience too — we value thinking skills over titles.

Language:
Proficient in English, as it is the primary language used with our clients and internally.
Any additional languages will be a great bonus for our team and our diverse client base.

Bonus skills

  • Knowledge and experience of working with Bitrix24
  • A qualification in IT or Business related fields
  • Experience in customer engagement and query management

Driver’s Licence:
